The short version

  • Verdica firms can now order medical records, billing and radiology from inside a case, through a medical records retrieval service.

  • Your client e-signs the authorization in Verdica, and nothing goes out until it is signed.

  • Records come back into the case already read, ready for the Case Record and the Demand Letter.

  • It runs on your firm's own retrieval account, connected once by an admin.

Getting records is often the slowest part of building a demand. Everything the case turns on is in them, but collecting them means finding who holds them, sending an authorization, waiting on a signature, and following up with each provider until the records arrive.

Verdica firms can now order them from inside the case. Medical records retrieval in Verdica runs through YoCierge, a medical records retrieval service whose team calls, faxes and follows up with providers, and the records come back into the case already read.

How medical records retrieval works in Verdica

Open a case and go to Record retrieval. Under "Who holds the records?", tick the treating providers already on the case, or search the providers the retrieval service works with. For each provider, choose what you need: medical records, billing, radiology reports or radiology images. Verdica fills in the treatment dates from the visits already in the file, and you can adjust them. If you need something specific, add it, and it is printed on the authorization.

You can also ask each provider to certify the records. Some states will not admit records without a certification.

Your client signs first

Verdica prepares the authorization and asks your client to sign it, by email when the case has their address, or through a signing link you share with them. The retrieval service does not contact your client. The order goes out only when every authorization is signed, so nothing reaches the retrieval service on an unsigned form.

The authorization covers medical records, billing and radiology. Specially protected records, such as mental health, substance use, HIV and reproductive health information, are left off.

Records come back already read

Each request shows where it stands as the retrieval team works it, from the provider confirming the request to the records being complete, along with what the team has done so far. When records arrive, Verdica files them into the case and reads them the same way it reads an upload, checking that they belong to your client and are not duplicates of what you already have. From there they feed the Case Record and the Demand Letter like any other record.

Fees stay with your firm

An admin sets a pre-approved provider fee. The retrieval service pays a provider up to that amount without asking. When a provider charges more, it emails you to approve, dispute or cancel the charge. The retrieval service bills your firm directly.

Getting started

Medical records retrieval uses your firm's own account with the retrieval service. An admin connects it once under Settings, Record retrieval, and sets the pre-approved fee. If your firm does not have an account yet, ask us and we will introduce you to the retrieval service. You can switch it off again whenever no requests are still running.

If you ordered records through Verdica before, this is that capability back, rebuilt around the case.
